Flag names and dates clearly in a document translation enquiry

By Enuncia Global ·

Names and dates often need special attention in a document translation brief. A client may already use an established spelling in another record, while the source document contains a different script or format.

Provide reference information without changing the source

Ask whether the client has an existing spelling that the receiving organisation expects. Identify it as reference information and explain where it comes from. Keep the original source intact; do not overwrite a name or date to make two records appear consistent.

If the client points out a discrepancy, record it as a question. A translation enquiry is not an instruction to correct an issuing authority's record. Enuncia can review how the source and the client's reference information should be handled within the agreed scope.

Make format instructions explicit

Include any recipient instruction about transliteration, date presentation or document layout. If none has been provided, do not invent one. Distinguish a preferred spelling from a confirmed requirement.

Share only the records necessary for the review and obtain permission first. A careful referral allows the team to ask targeted questions before accepting work. It does not establish identity verification, amend official records or guarantee that a recipient will accept the final document.
